All rights reserved.</copyright><item><title>Business Admin Apprentice - Faculty of Engineering - University of Strathclyde </title><description>We are currently looking for a modern apprentice to be based within the Department of Design, Manufacture &amp; Engineering Management (DMEM).  The post holder will report to the Department Administrator and will provide clerical and administrative support to the Department across a broad range of support activities that underpin the general operation of the Department. 

The postholder will be required to communicate with an extremely wide cross-section of stakeholders, both within and outside the University and at all levels.  A pleasant, helpful manner as well as a presentable demeanour will, therefore, be essential.
Responsibilities/Duties

•	Sort and distribute incoming mail
•	Provide a counter service in dealing with and answering queries from a wide variety of visitors to the Departmental Office – students, departmental colleagues, other University staff and external visitors
•	Photocopying of undergraduate applications to the Department
•	Processing of purchasing orders and invoices, including the University’s online PECOS ordering system
•	Stationery monitoring and ordering
•	Departmental room bookings
•	Assist the Departmental Administrator and other secretarial colleagues with various tasks relating to the administration of undergraduate and postgraduate courses
•	Carry out general administrative duties which maintain the smooth running of the Departmental Office and supports colleagues in delivering service standards, which will involve the use of Word, Excel, Access and Outlook
•	Deal with telephone enquiries

The postholder will also be required to operate as part of the Faculty administrative team.      
Summary of Responsibilities

•	First point of contact for the Faculty Team, which will necessitate dealing with a range of enquiries from staff and students, offering advice and information where required and passing on enquiries outwith the post holder’s knowledge base to appropriate individuals.
•	Arranging complex series of meetings and events with multiple participants in accordance with the activities of the Team.
•	Drafting memos, email and some letters, and dispatch of same, on behalf of the administrative staff.
•	Carrying out tasks such as: logging appeals; database entry; processing of forms and notices (e.g. invoices, orders, application forms) following set procedures.
•	Provision of organisational support within the Team including, for example, photocopying, booking rooms, distribution of mail, filing, ordering stationery etc.
•	Other duties as required in support of the Faculty Team and consistent with the grade and the workload.
